INFORMATION SECTION
All forms required to be completed are included in this Exhibitor Manual.
Please submit all required forms before the specified deadline. Exhibitors are strongly advised to keep a copy of all documents before returning the forms to the Organizer.
Exhibitors, Contractors, Agents, and all Participants are required to carefully read this Exhibitor Manual and fully comply with all rules and regulations established by the Organizer.
A. EXHIBITION VENUE
The exhibition will be held at Hall 5–10, ICE (Indonesia Convention Exhibition),
BSD Grand Boulevard, BSD City, Tangerang, Banten 15339 –
Telephone: +62 21 2971-4600.
B. EXHIBITION DATE AND OPENING HOURS
The exhibition will take place on the dates and operating hours determined by the Organizer.
4 – 6 September 2026
09.00 AM to 10.00 PM
C. MOVE-IN AND MOVE-OUT PERIOD
The detailed schedule for booth construction and dismantling on
2 – 3 September 2026 is as follows:
a. Move-In (Construction)
Exhibitors with standard booths (Walk-On-Package) or exhibitors appointing their own contractors (Space Only) may begin booth construction on:
2 September 2026
10.00 AM to 11.59 PM
3 September 2026
12.00 AM to 10.00 PM
b. Move-Out (Dismantling)
All exhibits, display materials, and booth structures must be removed from the exhibition area no later than 11.45 PM on 6 September 2026.
Late dismantling will result in rental charges deducted from the Deposit.
D. EXHIBITOR REGULATIONS
a. Changes of booth type from “Walk-On-Package to Space Only” or “Space Only to Walk-On-Package” are permitted before 1 June 2026.
b. Exhibitors may appoint their own stand contractors (Space Only), except for electrical and water pipe installations.
c. Booths may not be sublet, transferred, or reassigned under any name other than the registered Exhibitor approved by the Organizer.
d. Exhibitors may only display products related to the exhibition theme. The Organizer and co-organizers reserve the right to determine the relevance of exhibited products.
e. The Organizer and co-organizers shall not be held financially or legally responsible for negligence or risks involving Exhibitors, Visitors, or personal belongings.
f. Exhibitors are fully responsible for ensuring their contractors comply with all rules and regulations, including strict adherence to construction and dismantling schedules.
The Organizer reserves the right to impose penalties deducted from the Deposit for any violations or delays requiring additional work.
g. Exhibitors must submit a security Deposit to the Organizer as a performance and damage guarantee (via Bank Draft or Cheque payable to PT. Temali Indonesia).
The Deposit will be invoiced together with the Additional Invoice.
Refunds will be processed after deductions (if any) for damages or late dismantling, no later than 30 September 2026.
To facilitate the Deposit refund process, Exhibitors must provide bank account details to the Organizer (PT. Temali Indonesia).
Deposit calculation:
USD 500 or IDR 5,000,000 for booths up to 24 sqm
USD 1,000 or IDR 10,000,000 for booths above 24 sqm
h. Exhibitors appointing their own contractors will be charged an Inspection Fee calculated as follows:
IDR 50,000/sqm or USD 5/sqm,
maximum IDR 10,000,000 or USD 1,000
i. Speakers brought by Exhibitors must not exceed 80 dB.
All speakers must face inward toward the booth area.
Violations may result in actions such as volume reduction, electricity disconnection, or further penalties imposed by the Organizer.
j. Exhibitors are prohibited from hanging, installing, distributing promotional materials, or placing items in public areas outside their booth. Promotional activities outside booth areas are not permitted.
k. Exhibitors are responsible for their exhibits, booth construction, and personnel insurance during the exhibition.
E. SPACE ONLY BOOTH CONSTRUCTION REGULATIONS
a. Exhibitors are responsible for ensuring contractor compliance with all Organizer regulations.
b. Exhibitors, contractors, agents, and participants are responsible for completing booth construction within the scheduled timeframe.
c. Space Only exhibitors must inform their contractors of all Organizer regulations and ensure strict compliance with safety requirements.
d. Exhibitors and contractors are strictly prohibited from nailing, wiring, or attaching materials to hall structures including ceilings, pipes, floors, or walls.
e. Exhibitors may not use walls belonging to other exhibitors.
f. Temporary gas lighting or electrical equipment is prohibited without Organizer approval. Spray painting inside the hall is strictly forbidden.
g. Waste Disposal
During construction, Exhibitors or contractors are responsible for daily waste disposal (paint cans, wood waste, etc.).
Failure to comply will result in cleaning service charges billed to the Exhibitor.
Wood cutting or activities generating excessive debris are not permitted inside the hall.
h. Hall Structure
Booths and floor coverings must not exceed contracted dimensions.
Fascia boards must not protrude into aisles, and furniture or plants may not be placed in gangways.
i. Floor Covering
Space Only exhibitors must ensure:
i). Carpet and rear walls installed within 12 hours from construction commencement.
ii). Floor coverings must use double-sided tape and must be removed during dismantling.
Paint or glue application on venue floors is strictly prohibited and may result in delayed electrical installation and additional cleaning charges.
j. Fire Regulations
All construction materials must comply with local fire-resistant standards.
k. Booth Construction Rules
i). Complete booth design drawings and dimensions must be submitted for approval no later than 15 July 2026.
ii). Maximum booth height:
• Perimeter booth: 5 meters
• Island or center hall booth: 6 meters
• Island booths must have all four sides open.
Double-decker booths require written approval and incur an additional 50% Space Only rate for upper floor areas. Maximum height is 6 meters.
iii). Adjacent booths must include partition walls between 2.5 – 4 meters high.
Rear wall surfaces must be finished in white or black using non-transparent material without logos or text.
iv). Booth designs must not obstruct neighboring booths.
v). Decorative elements must remain within booth boundaries.
vi). Doors facing aisles must open inward.
vii). At least one-third of the booth frontage must remain open or transparent.
viii). Signage may only face open sides and must not display branding toward neighboring booths.
ix). Island booths must complete finishing on all sides.
x). The Organizer reserves the right to take corrective action and deduct related costs from the Deposit.
l. Truss and Rigging Regulations
i). Maximum suspended truss height is 7 meters measured from booth floor level.
ii). Trusses must use designated rigging points only.
iii). Minimum distance from other booths is 1 meter.
iv). Floating structures above 5–7 meters require Organizer and venue approval.
m. Material & Construction Regulations
i). Inflatable objects are not permitted.
ii). Only water-based paint is allowed.
iii). Spray painting must be conducted outside the hall.
iv). Airbrushing, scrubbing, and metal welding inside the hall are prohibited.
v). Polishers must include dust collection covers.
vi). All structural elements require Organizer approval.
vii). Rigging and structural plans must be approved by authorized contractors with valid licenses attached.
viii). Hanging structures may only be installed by exhibitor-appointed contractors.
ix). Hanging banners are not permitted.
F. SPACE ONLY CONTRACTOR REGULATIONS
a. Working Passes
All construction personnel must wear Organizer-issued Working Passes at all times within the exhibition hall.
Working Passes can be collected at the Loading Dock entrance by exchanging identification cards, which will be returned after construction and dismantling periods.
b. Dress Code
All workers must wear proper PPE including safety helmets, safety vests, and safety shoes during move-in and move-out periods.
G. SPACE ONLY BOOTH DISMANTLING REGULATIONS
a. Space Only exhibitors must ensure contractors comply with all Organizer regulations and safety requirements.
b. Exhibitors are responsible for cleaning their booth area, furniture, and carpets during the exhibition.
c. Upon exhibition closing, Exhibitors and Contractors are jointly responsible for dismantling and removing booth structures and debris according to the official dismantling schedule.
